Short answer: as an agency grows, client management stops working from memory. Give every client one owner, a clear stage, written terms and a dated next step; log every call, email and meeting on the client record; chase feedback on every submission; and keep an eye on how much of your revenue depends on one client. This guide covers each habit and how Crumblelead supports it.

Why does client management get harder as an agency grows?
With five clients, one person can remember who said what. With fifty, spread across several consultants, details get lost: a submission nobody chased, terms agreed on a call but never written down, a client who has not heard from you in two months. The fix is not more effort; it is a few simple rules that everyone follows, kept in one shared system.
How should you organise your clients?
Track each client through clear stages, from first contact to live client, so you can see your business development pipeline at a glance. Crumblelead's default client stages are Lead, Contacted, Engaged, Terms Agreed, Live Client and Not Interested, and the clients board lets you drag a client from one stage to the next.
Give every client an owner: the consultant responsible for the relationship. When everyone owns a client, nobody does. Add tags for the things you filter by, such as sector or region, and mark sensitive accounts as confidential so only the right people see them.
What should you record when terms are agreed?
Write the terms down on the client record as soon as they are agreed, so nobody has to dig through email to find them. In Crumblelead you can record whether a contract has been signed and the permanent fee, either as a percentage or a fixed amount, in the client's currency. Store the signed terms of business as a file on the client so they are one click away when a fee is questioned.
How do you keep every client relationship moving?
- Set a next step with a date. Every active client should have a next action, a due date and someone assigned to it. Crumblelead flags a next step as overdue on the client record once the date passes.
- Log every touchpoint. Record calls, emails and meetings on the client so anyone can pick up the account. Emails you send from Crumblelead are logged automatically. If nobody has logged a call, email or meeting with a client in 30 days, Crumblelead points it out.
- Keep contacts up to date. Add the hiring managers and decision makers you work with as contacts on the client. A client with no contacts is flagged so it gets fixed.
How do you stop candidates waiting on client feedback?
Slow feedback loses candidates. Agree a feedback deadline with each client when you take the brief, then chase on the day it is due. Crumblelead lists candidates who were submitted to a client with no activity since, under "No feedback yet", with a button to email the client's main contact.
How should you report to clients?
Send each client a short update on their open roles on a regular schedule you agree up front, even when there is nothing new. "Still searching, here is what we are seeing in the market" is better than silence. Keep the update simple: roles open, candidates submitted, interviews booked and anything you need from them. The client record shows their jobs and the candidates in process, which gives you most of what you need.
How dependent is your agency on one client?
Growth often comes from one or two big accounts, which is good until one of them pauses hiring. Watch the share of your placed revenue that comes from your biggest client and treat a high share as a risk to manage by winning new accounts. Crumblelead's Reports show each client's share of placed revenue for any period. See 5 metrics every recruitment agency should track for the other numbers worth watching.
How do you hand a client over to another consultant?
When a consultant leaves or accounts are rebalanced, change the client's owner and walk the new owner through the record: the terms, the open jobs, the candidates in process, the latest notes and the next step. If everything has been logged on the record, the handover takes minutes and the client barely notices.
