How to Export Your Data From Vincere

By The Crumblelead Team·Published October 15, 2026·Last updated October 15, 2026

To export your data from Vincere, use Export to CSV from Advanced Search for candidates, contacts, jobs and companies, up to 5,000 records at a time. The CSV leaves out CV files, emails and full activity history; a complete copy with SQL backup files and CVs is a chargeable service that Vincere quotes and processes within 10 business days of payment.

Vincere, now sold as Access Vincere Evo, documents three export routes in its help centre. This guide covers each one, what it misses, and how to plan your exit around your contract. It was last updated on 15 October 2026.

What are the ways to export data from Vincere?

How do I export records from Vincere to CSV?

  1. Open Advanced Search and choose the record type: Candidates, Contacts, Jobs or Companies.
  2. Click the menu icon and choose Export to CSV.
  3. Name the export and click Save.
  4. Wait for the file by email, usually within about five minutes.

Only Super Users and Admins can export; if the option is missing, ask Vincere support to enable it. Each export is capped at 5,000 records, so Vincere suggests splitting larger sets into Talent Pools and exporting each one. Archived candidates must be added to a Talent Pool first. Job applications have a separate export.

The file has fixed fields, with dates in UTC. Some fields are excluded, such as "date sent" and industry or functional expertise, and company exports do not include their contacts, so export contacts separately.

What do Vincere's Data Export schedules cover?

Under Settings > Data Export, admins can schedule daily, weekly or monthly exports in CSV or XLSX, up to 500,000 applications, delivered by download, SFTP or email. They cover operational datasets such as absences, applications and onboarding, invoices, placement cancellations, timesheets, shifts and expenses. CVs, emails and notes are not mentioned, so treat these as reporting exports rather than a migration copy.

How do I get a full backup from Vincere?

Vincere's help centre says it "offers a chargeable service for comprehensive data exports, including SQL Backup files and CV documents". The process is:

  1. Submit a Professional Services Form.
  2. Receive a quotation.
  3. Pay.
  4. Wait for processing, within 10 business days.

Vincere does not publish the fee. One Capterra reviewer, cited by Pin, reports paying "over €1,000" to receive their data; that is a single report, not a price. Vincere's pricing FAQ says that on cancellation it will provide guidance on data retrieval, with costs depending on the specifics.

When should I request the Vincere export?

Before your renewal date, while the account is live. Vincere sets a minimum 12-month term, and one reviewer reports automatic renewal unless you give three months' notice; that is a single user report, so check your own contract. A practical order:

  1. Check your renewal date and notice period.
  2. Request the full backup quote early, and allow 10 business days after payment.
  3. Take CSV exports, using Talent Pools to stay under the 5,000 limit, as an interim copy.
  4. Check a sample of the backup, with CVs, before access ends.

What does a Vincere export usually miss?

The CSV export excludes CV files, emails, full activity history and some fields. Data Export schedules focus on operational data. Only the paid SQL backup includes everything, including CVs. Because customers cannot get API keys, a new system has to work from these exports, the paid backup, or a partner arrangement.

How does Crumblelead's free migration work?

Migration to Crumblelead is free on any paid plan. Tell us what you have, and we come back the same business day with a plan. For Vincere we work from your exports and backup, map candidates and CVs, clients and contacts, jobs and pipeline stages, notes, owners and placements into Crumblelead, and load a sandbox dry run for you to check before the final import. Most teams cut over in about a week, and you keep working in Vincere meanwhile.
