Recruitment ATS Integrations: What Should an Agency ATS Connect To?

By The Crumblelead Team·Published October 15, 2026·Last updated October 15, 2026

A recruitment agency ATS should connect to your email and calendar, to LinkedIn in whatever way your LinkedIn plan allows, to the job boards you advertise on, and, if you place contractors or invoice from the ATS, to your accounting or payroll software. Which of these matter depends on how you recruit, so check each one against your own workflow rather than a vendor's logo wall.

Integrations are where demonstrations and daily reality most often differ. This guide sets out what agencies typically expect, the platform rules that limit what any ATS can do, and exactly what Crumblelead connects to today and what it does not. It was last updated on 15 October 2026.

What should email and calendar integration do?

Agencies generally expect to send email from their own mailbox inside the ATS, to log it against the candidate or client, and to sync calendars for interviews. Many also expect two-way email sync, where incoming replies appear on the record. Reading mail server-side is harder than it looks: Google requires an annual security assessment for apps that use its restricted Gmail permissions, reported at about four to eight weeks plus an assessor's fee, which is one reason some ATSs offer send-only connections.

Crumblelead's email connection is send-only. You connect Gmail or Outlook, or any mailbox by SMTP, and send from candidate and client records using your own address; those emails are logged on the record. It does not import your inbox, so replies stay in your mail client. Calendar sync is two-way with Google and Microsoft calendars, and public booking links let candidates pick a slot. See how to set up email and calendar.

One change to check with any vendor: Microsoft is retiring Exchange Web Services in Exchange Online. It is blocked from 1 October 2026 unless a tenant admin allows it, and removed on 1 April 2027, so Outlook integrations must use Microsoft Graph. Crumblelead's Outlook connection already sends through Microsoft Graph.

How can an ATS connect to LinkedIn?

LinkedIn's official ATS integration is Recruiter System Connect. Only LinkedIn-approved partners can build it, and it works with Recruiter Corporate (including the SMB edition) and Recruiter Professional Services seats. Recruiter Lite is not eligible. LinkedIn includes it with an eligible Recruiter licence at no extra cost, though some ATS vendors charge their own fee. Most small agencies use Recruiter Lite or a standard LinkedIn account, so Recruiter System Connect is not available to them at all.

The alternative most agency ATSs offer is a browser extension. LinkedIn's help centre states: "we don't permit the use of any third party software, including 'crawlers', bots, browser plug-ins, or browser extensions that scrape, modify the appearance of, or automate activity on LinkedIn's website", and says accounts that break this rule can be restricted or shut down. No browser extension is approved by LinkedIn.

Crumblelead's Chrome extension adds a Crumblelead button to LinkedIn profile and company pages. When you click it, it reads the page you have open, shows you what it found to confirm, and adds that person or company to Crumblelead, optionally into a job or talent pool. It works one page at a time and only when you click; it does not browse, message or collect profiles in bulk. Because it reads the page and adds a button to it, it falls within the kinds of software LinkedIn's policy describes, so read that policy and decide whether you are comfortable using it on your account. Crumblelead is not a Recruiter System Connect partner.

Should an ATS post to job boards?

Many do, directly or through a multiposter such as Broadbean, idibu or LogicMelon, which often come as paid add-ons. Multiposting does not include advertising costs: you still pay each board. In the UK, Reed lists a premium job credit at £175, and Indeed does not offer free accounts to agencies; Indeed removed free organic visibility for staffing agencies in almost all markets from May 2024, so agencies should budget for sponsored jobs.

Crumblelead does not post to job boards and has no careers page. If advertising drives your candidate flow, post directly on each board or use a multiposter, then add applicants to Crumblelead by uploading their CVs in bulk or importing a CSV. If job boards are central to how you recruit, a platform with built-in posting, such as JobAdder or Zoho Recruit, may suit you better.

Do agencies need accounting and payroll integrations?

Perm agencies mostly need a placement fee to become an invoice, then credit control. Xero, QuickBooks and Sage are the usual targets, and some ATSs connect directly while others use Zapier. Temp and contract agencies need far more: timesheets feeding a pay and bill engine.

Crumblelead has no accounting, payroll or timesheet integration. Placements record the fee, any split between consultants and whether the placement has been invoiced, and revenue reports draw on them, but invoices are raised in your accounting software. It is not built for temp back offices.

What about APIs, automation and AI assistants?

Agencies with a developer or a technical owner often expect an open API, webhooks and Zapier, the glue for anything an ATS lacks. Check whether the API is included or costs extra, since some vendors reserve it for higher tiers.

Crumblelead includes a REST API on its one plan, with personal API keys, covering candidates, clients, jobs and applications. It does not offer outbound webhooks or a Zapier app. It also has a built-in MCP server so Claude, ChatGPT and other MCP clients can work with your workspace within your permissions, as do several other agency ATSs; see which ATS platforms work with Claude and ChatGPT.

What are the common misconceptions?

  • "Any ATS can integrate with LinkedIn." Only certified Recruiter System Connect partners can, and only for eligible Recruiter seats.
  • "LinkedIn approves Chrome extensions." It does not; its policy prohibits extensions that scrape, automate or change its pages.
  • "Indeed is free." Not for agencies in the UK and most markets.
  • "Multiposting includes the advertising." It does not; each board charges separately.
