Set up pipeline stages for an agency

Pipeline stages are the columns on every job's board. They are shared across all jobs in your workspace, so the whole team works and reports the same way.

Where are pipeline stages set?

An admin sets them in Settings > Pipeline stages. From there you can rename, add, remove and reorder stages. Other roles see the stages but cannot change them.

What stages does a new workspace start with?

New Candidates, Shortlist, Submitted to Client, Client Interview (1st), Client Interview (2nd++), Offer, Hired and Started. When you set up your first job you can instead choose a preset:

  • Agency standard, for contingency and retained work with client submissions: New, Shortlist, Submitted to Client, Client Interview, Offer and Placed.
  • Executive search, for senior and retained search: Mapping, Approached, Engaged, Shortlist, Client Interview, Offer and Placed.

What are stage roles?

Each stage can have a reporting role: Submitted to client, Interview, Offer, Placed or Other. Your conversion funnel and forecast read these roles rather than stage names or positions, so they stay accurate however you name or order your stages. Check the roles after you change stages.

Tips for an agency pipeline

  • Keep stages to the real steps in your process. Too many stages make the board hard to read.
  • Use one stage for the moment you send a candidate to the client, and give it the Submitted to client role, so your submission numbers are right.
  • If you split first and later interviews, give both the Interview role.
